From the launch of a new site in lower Manhattan in collaboration with Trinity Church NYC to record-breaking arts education programming growth in Montclair, to producing the largest free jazz festival in the region, we are advancing our mission to build community leaders and global citizens through jazz.

Position Summary:

The role of Arts Associate with JAZZ HOUSE KiDS is a critical role that supports the administration of the music education programs and initiatives, including student enrollment, scheduling, and maintenance of educational materials. In this role you will provide logistical support for all programs and special events. This position requires a collaborative spirit, excellent organizational skills and strong communication skills. The position reports to the Associate Director of Jazz and the Associate Director of the In-School programs. The ideal candidate will have a passion for Jazz.

This position reports to the Associate Director of Jazz and the Associate Director of the In-School programs.

Responsibilities

Arts Department Program Support

  • Support the administration of music education programs and initiatives, including student enrollment, scheduling, and maintenance of educational materials and support of special events
  • Support the planning and execution of student performances, including in- school performances, such as student concerts, masterclasses, and school-based performances
  • Support maintenance of Asana projects + Excel/Google sheets trackers
  • Support budget tracking and financial reporting as needed
  • Assist with administrative tasks, document preparation and distribution, and survey administration
  • Schedule interdepartmental meetings, gather agenda from four Departments/Directors, send out email invites and attend meetings to act as scribe.
  • Summarize meeting notes: identify key decisions, open items and action items, and share with the attendees
  • Other duties as assigned

In-Schools Program Support

  • Assist in the planning, coordination, and implementation of in-school music education programs, workshops, and performances
  • Support the logistics of program delivery, including scheduling, program materials and calendars
  • Collaborate with the In Schools team to ensure program goals are achieved

Qualifications:

Education and Experience

  • Bachelor’s Degree required
  • Master’s Degree or equivalent on the job experience
  • Experience with music equipment, logistics and an understanding of how to set up an ensemble for a performance
  • Experience with music administration is a plus

Skills, Knowledge & Expertise

  • Minimum of one year of non-profit work experience in a supporting role, ideally in an administrative capacity preferred
  • Ability to work independently and as part of a team
  • Strong communication skills
  • Advanced computer skills, spreadsheets, Word, Excel, PowerPoint and Google Suite
  • Excellent time management, organization, problem-solving and research skills with a strong attention to detail
  • Ability to manage competing priorities effectively and work with tight deadlines
  • Occasionally required to work a flexible schedule including evenings, holidays, and weekends
  • Successful completion of a national background check
